SVCC has always had a strong process mapped out for managing subcontractor bids and working with subs through project completion. The SVCC bid process has always began with receipt of project plans and specifications, which had to organized, uploaded and distributed to the correct groups of subcontractors. While SVCC waited for subcontractor responses and bids, they performed a thorough review of the project in search of any scope gaps that may need to be corrected and resent. A week before subcontractor bid day, SVCC would follow up with invited subcontractors to ensure adequate bid coverage and thorough understanding of project needs and scope, and answered any questions regarding the project. On bid day, subcontractor and supplier bids were received and logged. This created a history of the bid activity of each company, which SVCC has found to be a valuable reference.
This process required an invitation-to-bid software solution that allowed for the uploading of project documents, the ability to send bid invitations, and the ability to log and track subcontractor bids. The solution also needed to allow for sending communications to subgroups of subcontractors or individual subcontractors.
